This Privacy Policy explains how AUTOMODULES LTD, trading as Automodules.uk, collects, uses, stores, and protects your personal information in accordance with UK GDPR and the Data Protection Act 2018.
AUTOMODULES LTD, trading as Automodules.uk, is the business responsible for the personal data described in this policy. It is registered in England and Wales under company number 17492436; its registered office is 97 Laceby Road, Grimsby, Lincolnshire, DN34 5DS. This policy outlines what data we collect, why we collect it, and how it is used when you contact us, book a service, or interact with our website.
We process your data under the following lawful bases:
We use personal data collected for an electronic signature to issue the invitation, present the fixed document copy, record the signer's separate decisions, provide signed copies, administer the agreement, and establish or defend legal claims. Depending on the circumstances, our lawful basis may be taking steps at your request before a contract, performing a contract, our legitimate interests in maintaining evidence and managing our business, or compliance with a legal obligation. The signature checkbox records agreement to that document; it is not, by itself, consent to every other use of personal data.
For data that a fleet customer provides or generates about its drivers and vehicles, the customer will normally decide why and how that data is used and act as controller; AUTOMODULES LTD will process it on the customer's documented instructions as processor where the law treats it that way. The parties should put the required processor terms in a data-processing agreement. AUTOMODULES LTD acts as controller for its own customer, account, billing, security and business records. The actual roles depend on the processing in question.
Your data is stored securely and only retained for as long as necessary. We use appropriate technical and organisational measures to protect your information from unauthorised access, alteration, or disclosure.
We do not sell your personal data. We share it only as necessary to operate the service or:
These providers may process data on our behalf or under their own responsibilities. Depending on the provider and service, data may be processed outside the UK. We require appropriate contractual and transfer safeguards where applicable. Contact us for information about the providers and safeguards relevant to your data.
Our website may use basic analytics tools to understand visitor behaviour. No personally identifiable information is collected through cookies unless you submit it voluntarily.
Subject to the conditions and exceptions in data-protection law, you have the right to:
You also have the right to complain to the Information Commissioner's Office (ICO). We would welcome the opportunity to address your concern first; contact us using the details below.
We keep personal data only for as long as needed for the purpose for which it was collected and to meet legal, accounting and claim-management requirements. We retain service records, invoices and communication logs for up to 7 years where required for legal and tax purposes; the applicable period depends on the record and circumstance.
Signing invitations that are not completed are eligible for deletion 90 days after the invitation expires. For signed agreements and related signing evidence, we retain the records while the relevant customer relationship remains active and for up to 7 years after the recorded end date of that relationship, unless a longer or shorter period is required or permitted by law (for example, to establish, exercise or defend a legal claim). We then delete or securely anonymise them from active systems. Encrypted or access-restricted backups may retain deleted data until the relevant backup is overwritten through the normal backup cycle.
Access to signed records and email logs is restricted to authorised administrators. New signing invitations, confirmations and resend messages are excluded from general email-body logging. Historical signing email log entries may exist; the controlled cleanup process redacts private link tokens from matching entries. Private signing and download links expire, and a link expiry does not itself delete the signed document or its audit record.
